You may unsubscribe from marketing emails at any time using the unsubscribe link included in those communications or by contacting us directly.

Transactional and operational communications—including account verification, enrollment confirmations, class reminders, schedule changes, safety notices, and other service-related messages—are considered necessary for the administration of our programs and are not affected by marketing communication preferences.

You may continue to receive operational or transactional communications necessary to administer your account or program participation even if you opt out of marketing communications.

4. Children's Privacy (COPPA)

Our programs serve children of various ages, including children under the age of 13. We do not knowingly collect personal information directly from children under 13. Instead, personal information about minor students is collected and managed by a parent or legal guardian through a household account.

By creating an account, verifying your email address or mobile phone number through our one-time verification process, acknowledging this Privacy Policy, and adding a child to your household account, you represent that you are the child's parent or legal guardian and provide verifiable parental consent for ReDefiners World Languages to collect, use, maintain, and process the child's personal information solely for the purposes of providing educational services, managing enrollments, communicating with families, and fulfilling program requirements.

Children's information may be processed by trusted service providers that support our operations, including Salesforce, HubSpot, Jotform, Stripe, and Twilio, solely for the purposes described in this Privacy Policy.

Parents or legal guardians may:

  • Review the personal information we maintain about their child.
  • Request corrections or updates to that information.
  • Request deletion of their child's information where permitted by applicable law by contacting us using the information provided in Section 12.

We do not knowingly permit children under the age of 13 to create independent accounts, nor do we sell or use children's personal information for advertising or marketing purposes.

5. How We Share Your Information

We do not sell your personal information. We may share it only in the following circumstances:

5.1 Service Providers

We share information with trusted third-party vendors who help us operate our platform and deliver services, including:

  • Salesforce — customer relationship management, custom-coded forms, and enrollment records
  • Jotform — online forms and registration
  • HubSpot — communications and marketing
  • Twilio — SMS verification and notifications
  • Stripe — payment processing

Our third-party service providers maintain their own privacy and security policies governing the information they process. While we carefully select reputable providers, we are not responsible for their independent privacy practices. We encourage you to review the privacy policies of these providers. Some providers may process or store information outside your state or country of residence, subject to their applicable legal and contractual safeguards.

5.2 Legal Requirements

We may disclose your information if required to do so by law, legal process, or government authority, or if we believe disclosure is necessary to protect the rights, property, or safety of ReDefiners, our users, or the public.

5.3 Organizational Transfers

In the unlikely event of a merger, acquisition, or transfer of organizational assets, your information may be transferred. We will provide notice before your personal information becomes subject to a different privacy policy.

6. Data Retention

We retain personal information for as long as reasonably necessary to operate our educational programs, maintain enrollment records, comply with legal, contractual, reporting, and funding obligations, resolve disputes, enforce our agreements, and support legitimate organizational operations.

Account and enrollment information generally remains associated with your account unless:

  • You request deletion where permitted by applicable law;
  • We determine the information is no longer necessary for our legitimate organizational purposes; or
  • We permanently discontinue our operations.

We may periodically remove or consolidate duplicate, erroneous, incomplete, or inactive account records as part of our routine data management practices.

One-time verification codes are automatically invalidated and deleted immediately after successful use or expiration.

7. Data Security

We take the security of your personal information seriously. We implement commercially reasonable administrative, technical, and physical safeguards, including:

  • Encrypted transmission of data (HTTPS/TLS)
  • One-time verification codes instead of stored passwords
  • Limited internal access to personal data on a need-to-know basis

Access to personal information is restricted to authorized personnel with a legitimate business need. We maintain administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, disclosure, alteration, or destruction.

If we become aware of a security incident affecting personal information, we will investigate the incident promptly and notify affected individuals and applicable authorities without unreasonable delay, as required by applicable law.

Because ReDefiners uses one-time verification codes rather than passwords, we do not store user passwords within our platform.

8. Your Rights and Choices

Depending on your state of residence and applicable law, you may have certain privacy rights regarding your personal information, including the right to:

  • Request access to the personal information we maintain about you;
  • Request correction of inaccurate or incomplete information;
  • Request deletion of your personal information where permitted by law;
  • Request a portable copy of certain information;
  • Request that we limit or restrict certain processing activities where applicable; and
  • Withdraw consent where processing is based on your consent.

Before fulfilling requests involving personal information, we may verify your identity using information associated with your account to protect against unauthorized disclosure or fraudulent requests.

To exercise your rights, please contact us using the information provided in Section 13. We will review and respond to requests in accordance with applicable law.

9. Cookies and Tracking

We use cookies and similar technologies to support the operation of our website and improve user experience. These technologies may include:

  • Essential cookies necessary for authentication, security, and platform functionality.
  • Analytics technologies, including Google Analytics, to better understand how visitors use our website and improve our services.
  • Marketing technologies, including the Meta Pixel, to measure the effectiveness of advertising campaigns and improve communications with individuals who have provided consent where required by applicable law.

Where required by applicable law, users will be provided with appropriate notice and choices regarding non-essential cookies. You may also manage cookie preferences through your browser settings; however, disabling certain cookies may affect website functionality.

10. Third-Party Links

Our website may contain links to third-party websites, partner organizations, social media platforms, or other external resources. These websites operate independently of ReDefiners and maintain their own privacy policies and practices. We encourage you to review those policies before providing personal information. ReDefiners is not responsible for the content, privacy practices, or security of third-party websites.

11. Changes to This Policy

We may update this Privacy Policy periodically. When we make material changes, we will:

  • Post the updated policy at redefinerswl.org/privacy-policy with a new effective date
  • Send a notification to registered account holders via email

Your continued use of our services after changes are posted constitutes your acceptance of the updated policy.

12. Accessibility

ReDefiners is committed to making its website and online services accessible to individuals with disabilities. If you experience difficulty accessing any part of our Services or require assistance, please contact us and we will make reasonable efforts to provide an accessible alternative.
